Privacy Policy

We're straight up about how we handle your info. Read on to see what we collect and why.

Last Updated: November 6, 2025

Look, we get it – privacy policies can be a drag to read through. But we actually respect your privacy here at Aetherion Spirex, so we've tried to keep this straightforward. If you're bringing your European ride to us for diagnostics or tuning, here's what you should know about how we handle your personal information.

When you work with us, we collect a few different types of info to make sure we can properly service your vehicle and keep you in the loop.

Personal Contact Details

Pretty standard stuff here – we need your name, phone number, email address, and physical address. Can't exactly call you about your BMW's ECU remap without a phone number, right?

Vehicle Information

This is where it gets more specific to what we do:

  • Make, model, year, and VIN of your vehicle
  • Mileage and service history
  • Diagnostic trouble codes and ECU data
  • Any modifications or aftermarket parts you've installed
  • Performance tuning specs and custom mapping info
Payment & Billing Data

We collect payment card info, billing addresses, and transaction history. This stuff's handled through secure payment processors – we don't store your full card details on our systems.

Communication Records

Emails, texts, and phone calls with our team get logged so we can reference 'em later. Helps us keep track of what you've requested and what we've recommended.

Website Usage Data

If you're browsing our site, we collect some technical info like your IP address, browser type, pages you visit, and how long you hang around. Standard web analytics stuff.

We're not in the business of selling your info or spamming you with junk. Here's what we actually do with your data:

Service Delivery

The main reason we collect this stuff – to diagnose, repair, and tune your vehicle properly. Your ECU maps, diagnostic codes, and service history help us do our job right.

Customer Communication

We'll reach out about appointments, service updates, warranty info, and any recalls or important notices about your vehicle. Sometimes we'll send reminders about scheduled maintenance too.

Payment Processing

Gotta get paid for the work we do. We use your billing info to process payments, send invoices, and keep financial records for accounting purposes.

Quality Improvement

We analyze service data to figure out what's working and what isn't. Helps us get better at what we do – diagnosing common issues, improving our tuning methods, that sort of thing.

Legal Compliance

Sometimes we're legally required to keep records – tax purposes, warranty claims, insurance stuff, or if there's ever a dispute. It's just business reality.

Marketing (If You're Cool With It)

Occasionally we'll send out info about new services, special offers, or performance packages. But only if you've opted in – we won't bug you otherwise.

We take security pretty seriously around here. Your data's stored on secure servers located in Canada, with multiple layers of protection.

Security Measures
  • Encrypted data transmission (SSL/TLS) – that's the padlock you see in your browser
  • Firewalls and intrusion detection systems
  • Regular security audits and updates
  • Access controls – only authorized staff can view customer data
  • Secure backup systems in case something goes sideways
How Long We Keep Your Info

We'll hang onto your data as long as you're an active customer, plus a reasonable period after for warranty purposes and legal requirements. Generally that's about 7 years for financial records, but service history might be kept longer since it's useful for future work on your vehicle.

Physical Security

Our shop's got security cameras, alarm systems, and locked filing cabinets for any paper records. We're not leaving your info lying around where anyone can grab it.

We don't sell your personal info to marketers or data brokers. Period. But there are some situations where we need to share limited data with third parties:

Service Providers
  • Payment processors – they handle credit card transactions securely
  • Parts suppliers – sometimes we need to share vehicle specs to order the right components
  • Diagnostic software providers – for cloud-based ECU mapping and diagnostics
  • Accounting software – for invoicing and financial management
Legal Requirements

If we're legally obligated to disclose info – like a court order, government request, or insurance claim – we'll comply with that. We're not gonna hide behind privacy laws if there's a legitimate legal reason.

Manufacturers & Warranty Work

For warranty claims or recalls, we might need to share vehicle data with manufacturers or authorized service networks. It's part of the warranty process.

Business Transfers

If we ever sell the business or merge with another shop, customer records would be part of that transfer. Any new owner would still be bound by this privacy policy though.

It's your data, so you've got some control over what happens with it. Here's what you can do:

Access Your Information

Wanna see what data we've got on you? Just ask. We'll provide a copy of your personal info within a reasonable timeframe (usually 30 days).

Correct Inaccurate Data

If something's wrong – like we've got an old address or incorrect vehicle info – let us know and we'll update it.

Delete Your Data

You can request deletion of your personal information. Keep in mind though, we might need to retain some records for legal or warranty reasons even after deletion requests.

Opt Out of Marketing

Don't wanna hear about our latest performance packages or special offers? No problem – there's an unsubscribe link in every marketing email, or just tell us directly.

Withdraw Consent

If you've given us permission for something (like marketing communications), you can change your mind anytime.

Data Portability

Need your service records for another shop? We can provide your data in a portable format if requested.

To exercise any of these rights, shoot us an email at service@aetherionspirex.info or give us a call at (604) 789-4523.
